Features described below are part of the application version 24.1.0 available from February 2025
The joyful time is here once more – we prepared a release of new features and plenty of improvements for you!
Among the highlights: you can now modify recipients in active workflows, leverage advanced reporting for deeper insights, and lock comments on completed documents. Plus, we’ve enhanced compliance with audit trail improvements and PDF/A support, and our design team has fine-tuned the UI for a more seamless experience across devices.
Let’s take a closer look at what’s new.
Recipient Modification
With this update, you now have the flexibility to change recipients in an active workflow. Previously, once a document was sent for signature or approval, the recipient list was locked. Now, as long as a recipient hasn’t completed their action, the sender (document owner) can replace them with another person.
This is particularly useful when a recipient is unavailable, has left the organization, forgot to set up a delegation for time off, or their role has changed. By allowing this modification, workflows remain uninterrupted, ensuring a smoother signing process.
This feature is available in the Business edition.
New Reports and Dashboards
For all the data-driven professionals out there – this one’s for you. Our new reporting feature gives you access to a wealth of document-related insights. Three reporting dashboards containing ten individual report tables on transaction statuses, document numbers and user engagement are available from the Business edition, with two additional dashboards available as paid add-ons for your advanced reporting needs.
What’s more, most reports can be adjusted to show data from a specific time, and all of them can be exported for further analysis. All the information – at your fingertips.
Better handling of Audit trails and Certificate of Fulfillments
To improve traceability and transparency, we have separated the Audit trail and the Certificate of Fulfillment to serve different purposes. But not to worry! They are both still a part of the process.
With this version of the application, audit trails will be generated dynamically throughout the entire document lifecycle, providing real-time status updates. It is branded with the logged-in user’s branding and accessible as a web page.
A Certificate of Fulfillment, on the other hand, will be generated only upon successful completion of a document. It is always branded based on its organization of origin and it is a non-editable, sealed PDF that represents the final status of the document. It does not track subsequent actions like sharing or commenting.
With this change, the audit trail will always reflect the most current document status, while the certificate provides a definitive, immutable record of completion.
Easier access to the app on mobile
Using Circularo on mobile just got even easier. Now, when accessing the web app on your mobile device, you’ll see a prompt to add Circularo to your home screen. With a single tap, you’ll have instant access to your documents – no need to navigate through your browser each time.
Users can Enforce PDF-A Standard
The PDF-A standard was designed with long-term document preservation in mind. It ensures that documents and all they contain will be properly displayed over time even as software and hardware changes.
Circularo users can now enable the option to convert new documents to the PDF-A standard and the standard will be upheld when uploading documents that already are compliant. You can learn more about specific types of the standard in our dedicated Overview.
Locked Comments for Finished Documents
Admins can now control whether users can add comments to documents after the transaction is finalized – whether successful or not.
If this feature is enabled, users will no longer be able to add new comments to finished documents, ensuring greater document integrity and preventing unnecessary post-signing discussions.
