Melida
The Company
Špindlerův Mlýn Ski Resort, operated by Melida a.s., is one of the largest ski resorts in the Czech Republic, offering more than 27 kilometers of ski slopes. Since the Czech Republic joined the World Ski Awards in 2014, the resort has been named the country’s best ski resort ten times, confirming its reputation as a premier winter destination.
Operational Challenges
“In a large resort environment, where multiple departments and partners work together, fast document exchange and approval is essential. Previously, we handled signing mainly physically, which meant printing, scanning, and more complex administrative processes,” said Adam Svačina, who was responsible for the implementation of Circularo in the company.
One of the key operational challenges for a ski resort is the annual hiring of seasonal employees. For a resort the size of Špindlerův Mlýn, this can mean onboarding up to 450 workers every year. Scheduling each employee to visit the office in person to sign employment documents often became chaotic, time-consuming, and stressful, for both the workers and the HR team.
Another obstacle was the physical availability of owners and senior management. Because they are involved in multiple companies and resorts owned by Melida, they are rarely present on-site at Špindlerův Mlýn. Obtaining their signatures frequently required traveling to them or sending documents by post, making the process slow, inefficient, and sometimes costly.

Solution
With the introduction of Circularo, these processes were significantly streamlined, reducing turnaround times from days to just hours.
“Thanks to Circularo, the entire process now takes place online - we prepare documents, send them for approval, and sign them in a matter of minutes. This has not only saved us a significant amount of time, but also given us better visibility and control over documents across the entire organization.”
Today, almost all seasonal workers sign their contracts and other required documents online, eliminating the need to travel to HR offices. Fewer than 10% of employees still sign in person, and even those documents are quickly uploaded into the system so that all records remain centralized and easy to manage.
One of the greatest advantages has been eliminating the need to physically track down management for approvals. Documents are now sent digitally, allowing executives to review and sign them anytime, anywhere - even on the move via the mobile interface.
“I don't have to print anything or wait for representatives to arrive. Circularo allows documents to be signed remotely in a matter of minutes,” said Jana Nováková, the assistant to the Director, who uses Circularo in her daily work. Furthermore, she expressed her appreciation for the different types of workflows Circularo offers: “I like the option to set the order of signatures, where the document is first sent to the person who is to check it and only then to the signatory.”
The results
By implementing Circularo, Špindlerův Mlýn Ski Resort has significantly simplified its document workflows and improved operational efficiency across multiple departments. Processes that previously required printing, scanning, and physical coordination can now be completed digitally within minutes.
Beyond efficiency and convenience, the transition to digital document workflows has also helped the resort significantly reduce its reliance on paper. By replacing printed contracts and internal documents with secure electronic signatures, Špindlerův Mlýn is contributing to more environmentally responsible operations, supporting its sustainability efforts while maintaining full control and traceability of its documentation.
Today, Circularo provides the resort with a centralized, transparent, and secure platform for document management, helping the organization operate more efficiently while focusing on what matters most - delivering an exceptional winter experience to its visitors.
